The Process

How it works

A custom trip is a collaboration. Here is exactly how we move from a half-formed dream to a confirmed, day-by-day itinerary — and what it costs.

Four steps

From a dream to a day-by-day.

1

Discovery call

A relaxed conversation about how you like to travel, what you’re dreaming of, and the realities — dates, budget, who’s coming. No obligation, a real advisor.

2

Design & proposal

We design a custom itinerary against a flat planning fee, then refine it with you until it’s exactly right — the rhythm, the rooms, the experiences that matter to you.

3

Book & confirm

We handle every booking, layer in Virtuoso VIP amenities, and hand you a beautiful day-by-day itinerary with everything confirmed and in one place.

4

Concierge while you travel

You travel with a 24/7 line to a human who knows your trip — for the missed connection, the upgrade, the rainy-day rescue, or just the dinner reservation.

Planning a custom trip
What you get

A finished trip, not a list of tabs.

You hand us the dream; we hand you a beautiful, confirmed itinerary — every flight, room, transfer, guide, and reservation in one place, with VIP amenities layered in and a concierge on call. The opposite of a search bar.

  • A confirmed, day-by-day itinerary document
  • Virtuoso® VIP amenities & upgrades
  • Reservations secured before you arrive
  • A 24/7 line to a human while you travel
Planning fees

Transparent fees, credited to your trip.

We charge a flat planning fee for the design work. It’s partially or fully credited toward your trip when you book through us — so the value you get back typically more than covers it.

* Planning fees compensate the research, supplier relationships, and design that go into a custom trip. The fee is partially or fully credited toward your trip when you book through us, per the engagement letter. Fees are earned once design work begins and are non-refundable. Prices are illustrative for this template.

Why it’s worth it

What a person adds that a site can’t.

A human who has been there

We’ve walked the streets, slept in the rooms, and met the guides. You get judgment a search engine can’t fake.

Perks a booking site can’t

As a Virtuoso® affiliate we add VIP amenities — room upgrades, resort credits, breakfast, early check-in — at no extra cost to you.

Your hours back

No 40-tab research spiral. You hand us the dream; we hand you a finished, confirmed itinerary.

Someone on the line

When a flight is cancelled in Nairobi at 2 a.m., you call a person who knows your trip — not a hold queue.

Often the same price — or less

Supplier rates, the right room category, and avoiding costly mistakes mean an advisor frequently pays for themselves.

Accredited & accountable

Virtuoso, ASTA, IATA/CLIA, and Seller-of-Travel registered. Your trip is booked through bonded channels.

Fees & protection

The honest fine print.

How do your planning fees work?
We charge a flat planning fee that compensates the research, supplier relationships, and design behind a custom trip — from $350 for a focused getaway to $1,500+ for a complex multi-country journey. The fee is partially or fully credited toward your trip when you book through us, per your engagement letter. Fees are earned once design work begins and are non-refundable.
What exactly does a travel advisor do?
We design a custom itinerary around how you travel, book every component, layer in VIP amenities through our Virtuoso affiliation, hand you a confirmed day-by-day itinerary, and stay on a 24/7 line while you’re on the road. Think of us as a consultant, concierge, and advocate in one — the opposite of a search bar.
Will a trip cost more than booking it myself?
Usually not. We work at supplier rates and often add value — room upgrades, resort credits, breakfast — at no extra cost through Virtuoso. Avoiding a single costly mistake frequently covers the planning fee. That said, prices are subject to availability and change until ticketed or confirmed.
Do I need travel insurance?
We strongly recommend it on every trip and require it for remote or expedition travel. A good policy covers trip cancellation, interruption, medical emergencies, and evacuation. We’ll always explain your options and what a policy does and does not cover, but we are not insurers and the final choice is yours.
A note on travel insurance. We strongly recommend travel-protection insurance on every trip and require it for remote or expedition travel. Wanderwell & Co. is not an insurer; we provide information and referrals only. Coverage terms are set by the insurer; read your policy.
